At SilentBeat, we take the protection of your personal data seriously. This policy describes how we process the personal data of website visitors, those interested in our services, customers, and participants of events organized by us.

2. What personal data we process
We only process data necessary for providing our services and fulfilling legal obligations:
• First name and last name
• Company name, ID, and VAT ID
• Contact details (email, phone number)
• Address (billing, event location)
• Data about ordered services and communication with us
3. Purpose of processing and legal basis
We process your data based on these legal titles:
• Contract negotiation and fulfillment: Handling inquiries, preparing offers, executing orders, and event registration.
• Legal obligation: Fulfilling obligations in accounting and taxes.
• Legitimate interest: Protecting our rights (debt collection), direct marketing (sending commercial communications, which you can opt out of at any time), and ensuring website security.
4. Obligation to provide data
Providing personal data is voluntary. However, some data is necessary for processing your inquiry, registering for an event, or entering into a contract. Without providing it, we will likely not be able to provide the requested service.
5. Data retention period
We store personal data for the time necessary to handle the inquiry or for the duration of the contractual relationship. Subsequently, we store it for the period required by law (e.g., 10 years for tax documents) or for the period necessary to protect our legal interests.
6. Data transfer and processing outside the EU
Data may be transferred to trusted partners (web hosting, IT services, accounting). Some cloud or analytical services we use may process data in countries outside the EU (e.g., USA), but always only in accordance with GDPR requirements and using appropriate legal data protection mechanisms.
7. Automated decision-making
Personal data processing does not involve automated decision-making or profiling within the meaning of Art. 22 GDPR.
8. Your rights
Under the GDPR, you have the right to access data, its correction, deletion, restriction of processing, portability, and the right to object. If you believe that the processing of your data violates legal regulations, you have the right to lodge a complaint with the Office for Personal Data Protection (www.uoou.cz).
9. Data security
Your data is safe with us. We use modern technical and organizational measures to protect data from unauthorized access or loss.
10. Event participants
We process data of event participants for the purposes of registration, headphone rental, tracking equipment distribution and return, participant identification, and communication during the event. We also use the data to resolve cases of non-returned equipment, damage compensation, complaints, or incidents. If SilentBeat is not the main event organizer, necessary personal data may be shared with the organizer to the extent needed for event organization, safety assurance, or resolving emerging situations.
11. Photo and video documentation
Photographs and video recordings may be taken during events for the purpose of documenting event proceedings, company presentation, and promotion of SilentBeat services or organized events. We take these recordings based on our legitimate interest. If SilentBeat is not the event organizer, photographs or video recordings may also be taken by the event organizer or their authorized partners, who in such cases act as independent data controllers.
